Position Summary:

The Human Resources Administrator performs administrative duties related to the operations of the human resources department. Responsibilities may include but are not limited to customer service, corresponding with recruitment agencies, obtaining HR documents, performance evaluation dissemination, EEO compliance, organizing training sessions and events, and updating the organization policies to remain compliant with labor laws. The Human Resources Administrator supports and maintains the HR modules in the organization's HRIS, (ADP). This position also oversees and maintains best function of the ATS, (AAIMTrack). In addition to assisting the Human Resources Manager in the daily administration of HR services as directed or assigned.

Essential Functions:

Onboarding

  • Prepare and place all internal and external position advertisements with newspapers, journals, websites, schools, etc. for recruitment in a timely manner
  • Administer new hire profiles in HRIS system (ADP)
  • Administrator for applicant tracking system (AAIMTrack), including onboarding, assessment, employment and background verification portals, and all portal maintenance
  • Train hiring managers on full utilization of applicant tracking system
  • Conducts new hire orientation and some exit interviews
  • Work closely with Payroll on new hire/rehire required documentation

Employee Maintenance:

  • Act as the first point of contact for all personnel queries
  • Maintenance of employee HR profiles in HRIS system (ADP)
  • Report regularly on HR metrics, such as the MHS turnover
  • Participate in Wellness and Accessibility meetings

Administrative:

  • Assist the HR Manager with research and other special projects
  • Schedule meetings and arrange appointments as requested
  • Maintain personnel filing system and adequate forms for all Human Resources activities; draft appropriate responses to staff
  • Complete purchasing tasks and invoice reconciliations for payment
  • Monitor budget expenditures for operational efficiency
  • Prepare monthly reports for staff meetings indicating all employee actions, such as new hires, promotions, and transfers
  • Process internal arrangements such as travel, training sessions, and team-building events

All other duties as assigned.

Qualifications:

  • BA in Human Resources, Management, or business-related field; preferred
  • Preferred three-to-five-year experience in a human resource related field may substitute for degree
  • Minimum three years human resources experience required
  • Broad knowledge of labor laws and practices

  • Display good ethical judgment
  • Solid knowledge of Microsoft Office Suite
  • Ability to interpret and explain
  • Strong critical thinking skills
  • Communicate effectively in oral, written, and graphic form
  • Ability to organize and prioritize assignments
  • Demonstrated skills in dealing with differences and managing interpersonal relationships
