Development Coordinator

Position Summary:

The Development Coordinator is a key role in the administration of projects that assist in the advancement and cultivation of upper level donors and prospects. This position supports the Managing Director of Development and the major gifts program. It requires a high standard of communication to assist in communications with donors and leadership volunteers. This position assists in organizing major gift fundraising efforts by solving logistical issues and collaborating with multiple colleagues and departments.

Essential Functions:

Project Coordination

  • Coordinate prospect mailings for corporate sponsorships, researching contact information and creating the mailing database
  • Administer corporate sponsorship benefit delivery to ensure all corporate sponsors are receiving accurate online and promotional benefits for their respective sponsorship levels
  • Working with the Planned Giving Consultant, administer the planned giving mail program and organize the logistics for planned giving events
  • Collect and prepare proposal information in advance of meetings with donors or board members as requested 
  • Perform proactive and reactive prospect research on individuals, foundations and corporations, entering new data into Altru and producing research reports, event briefs, and spreadsheets
  • Administer internship program including recruitment of interns and supervision of daily projects
  • Coordinate special projects as assigned

Department Coordination

  • Prepare bi-weekly development staff meeting agendas, reserve meeting space, and record accurate notes of meetings for distribution to development staff
  • Order flowers for Members
  • Order development and membership department office supplies and track invoices
  • Serve as the staff coordinator of Board committee and LGBTQIA+ Fundraising Committee; send out meeting announcements, schedule meetings, supervise room setup, prepare PowerPoint presentation and take and distribute minutes   
  • Set-up and maintain files and records which may contain confidential information

Administrative

  • Maintain accurate notes regarding prospect and donor meetings and proposal submissions 
  • Coordinate calendar for Managing Director of Development
  • Organize email of Managing Director of Development and respond as needed
  • Prepare monthly credit card reports for Managing Director of Development
  • Handle special requests for donors or the President's Office as needed
  • Serve on organization committees as needed

Other

  • Promote and nurture productive working relationships with staff 
  • All other duties as assigned

Qualifications:

  • Bachelor's Degree in business, communications, marketing, non-profit fundraising, or related field
  • 2 years of related experience

This position requires some evening availability.

Skills:

  • Superior written and verbal communication skills
  • Exceptional proofreading skills with accuracy in sentence structure, spelling, grammar and punctuation
  • Intermediate level competency with computer office applications, such as Microsoft Word, Excel, and PowerPoint
  • High-level proficiency with Altru, or other fundraising database
  • Exceptional time management skills
  • Ability to work independently and as a cooperative team member
  • Strong ability to multi-task
  • High-level event planning skills
  • Ability to work with and supervise volunteers
  • Willingness to learn
