Director of Facilities

Position Summary:

The Director of Facilities oversees the facilities management of the Missouri Historical Society's locations including the Missouri History Museum, the Library and Research Center, the Soldiers Memorial Military Museum and rented spaces.  The position coordinates all building and grounds maintenance and is responsible for ensuring that exacting temperature and humidity standards are monitored and maintained in exhibition galleries and collections storage areas. The position oversees maintenance, housekeeping and facilities, and oversight and management of most capital projects.  Responsible for day-to-day cleanliness of all facilities and long-term planning and scheduling of institutional replacement of flooring, mechanical equipment, roofing systems and other needed upgrades. Works to ensure sustainable materials are utilized in building renovations and cleaning supplies. Looks at life-cycle cost as part of the evaluation in determining long-range replacement or upgrades.  Responsible for all service and maintenance contracts, ensures accuracy of quotes/bids, and abides by MHS policies.

Essential Functions:

Strategic:

  • Development of preventive maintenance programs for the Missouri History Museum, Library and Research Center, and Soldiers Memorial Military Museum and rented spaces
  • Creation of long-term plans for facilities including equipment replacement schedules

 External:

  • Serves on facilities committees with representatives of other Zoo-Museum District organizations
  • Works with others on emergency management protocols for Missouri Historical Society properties
  • Knowledge of code compliance and local regulations 

Internal:

  • Direct and manage housekeeping and maintenance departments
  • Conduct regular walk-throughs and inspections of all MHS facilities
  • Ensure that multiple projects are executed on time and within budget while effectively meeting goals
  • Oversees event preparation set-up and breakdown for MHS events and programs
  • Coordinate schedules with multiple departments and ensure open and constant communication
  • Required to be on call and to develop schedule for 24-hour responsiveness of facilities staff in case of emergencies
  • Work with managers and supervisors to obtain competitive bids following MHS policies and procedures
  • Keep records of RFPs, bids, and awards
  • Maintain documents regarding DBE, MBE and WBE awards
  • General knowledge of facilities issues including:
    • HVAC
    • Electric
    • Plumbing
    • Painting
    • Carpentry
    • Roofing
  • Regularly perform maintenance responsibilities including:
    • Perform preventative maintenance, change filters, lubricate pumps & motors, replace worn belts and make adjustments when necessary
    • Operate drain clearing equipment
    • Maintain close relationship with landscaping contractors, make minor repairs to irrigation system
    • Maintain roof drains, downspouts, and in-ground drains
    • Understand and operate irrigation, fountain, and pool pumps
    • Oversight of snow and ice removal
  • Identify and recommend new energy-efficient equipment
  • Participate in company-provided training
  • Must maintain a professional appearance and attitude

Managerial:

  • Prepare and manage annual departmental budgets
  • Prepare regular monthly progress reports on housekeeping, maintenance and capital projects for Managing Director of Administration and Operations
  • Oversee staffing for facilities
  • Work with facilities staff to encourage professional growth and skill development
  • Serves as a member of MHS emergency management team

Qualifications:

  • BS, BA and/or documented 10 years Facilities management experience
  • Working knowledge of complex building maintenance
  • 5-7 years supervisory experience in facilities coordination or management
  • EPA 608 certification desirable
  • Valid driver's license
  • LEED professional certifications desirable

Skills:

  • Strong management background with the ability to coordinate, train and provide leadership to department
  • Strong project and team management skills, including the ability to manage multiple projects and deadlines with attention to quality
  • Ability to oversee, manage and develop annual budget for department
  • Ability to direct and coordinate division operations and emergency facility situations
  • Ability to maintain regular contact and interaction with public, outside contractors and MHS staff
  • Experience or knowledge of museum HVAC requirements, monitoring, and records
  • Knowledge of complex HVAC systems, steam generators operations, and heat pumps
  • Good analytical skills and attention to details
  • Ability to read and interpret blueprints, and manuals
  • Computer proficiency and ability to operate HVAC system
  • Proficient in word processing and spreadsheet management
  • Operate hand tools, power saw, drill, etc.
  • Ability to lift 50 pounds or more
  • Ability and availability to work some nights and weekends as required
