Division Coordinator

Position Summary:

The Division Coordinator provides administrative support to the Managing Director and organizational support for the Education and Visitor Experience Division. The primary duties for this role include maintaining division financial records and reporting, coordinating meetings, providing support for the EVE Board Committee and Chair, and managing divisional and pertinent institutional projects. They work collaboratively to design and implement special and signature events, including contracts, lodging, internal and external communication, and spatial planning.

Essential Functions:

  • Provide administrative support to the Managing Director of Education and Visitor Experience
  • Administer the calendar for the Managing Director of Education and Visitor Experience and coordinate meetings both internally and externally
  • Coordinate all web content for the division and communicates changes to online calendars and information to Marketing and Communications
  • Coordinate catering services for all (Education and Visitor Experience) events and acts as point of contact with the museum's restaurant services
  • Assist with tracking statuses, production schedules, and long-range planning for major department and division projects
  • Assist with the creation of Run of Shows and maintains the program and event files
  • Coordinate with department staff major annual events including concert series and celebrations of culture
  • Assist with the preparation of department and division annual budgets
  • Act as "controller" for all purchases, contracts, and other financial administration
  • Reorganize contract labor procedures, generate contracts, confirm contracts are fully executed, and maintain contract files
  • Work some evenings and weekends
  • Maintain confidentiality in all matters
  • Other duties as assigned

Qualifications:

  • Bachelor's degree in nonprofit management, business, administration, or accounting
  • 2-3 years of experience working in a nonprofit setting preferred

Skills:

  • Writing and editing skills with an emphasis on contracts and communications
  • Proficient with Microsoft Office (MS Excel in particular), Familiar with Adobe PDFs, Google Docs, and Outlook (email and calendar)
  • Experience with ALTRU (ticketing and scheduling software) and PowerPlan (accounting software) preferred
  • Strong customer service skills within the museum and external audiences
  • Strong analytical, problem-solving, and project management skills
  • High degree of accuracy and attention to detail
  • Organized with the ability to prioritize and multi-task
  • Reliable
