Position Summary:

The Exhibitions Specialist will help to continue and expand how we connect visitors to their shared past

and to one another. We seek an experienced, creative, detail-oriented, and teamwork-oriented project

manager who will help to facilitate exhibit development on our biggest projects which serve our largest

audiences, ranging from short-term temporary exhibits to a series of landmark signature gallery projects

planned for the next five years. The Specialist assists the operations of the Exhibitions Department

through essential administrative and coordination support, development assistance, and by facilitating

communication between the department, the wider Public History division, and the institution as a

whole.


The Exhibitions Specialist is expected to closely collaborate with all members of the Exhibitions

Department, as well as the Exhibitions Registrar, Lighting Technician, Soldiers Memorial Military

Museum staff, and other MHS staff as necessary. This is a nonsupervisory position.

Essential Functions:

  • Processes purchasing paperwork such as POs, invoices, check requests, etc.
  • Drafts and / or proofs contracts and RFPs for prospective vendors or bidders
  • Prepares quotes or memos as necessary for department purchases
  • Tracks department budgets and prepares financial reports regularly
  • Assists with yearly budget projections
  • Coordinates lease arrangements for offsite storage including contract renewals, maintenance request, payment discrepancies, etc.
  • Coordinates, facilitates, and attends various meetings on behalf of the department. This includes room reservations, food orders, etc. as necessary
  • Orders and / or maintains supplies for the department including shop materials, office supplies,

and equipment as necessary.

  • Maintains department databases such as vendor lists, inventories, etc.
  • Produces yearly calendars and schedules.
  • Participates in regularly scheduled gallery walkthroughs.
  • Facilitates exhibit maintenance and coordinates with the media and / or prep teams as

necessary.

  • Coordinates all small or community projects such as 100 Neediest Cases, offsite installations,

traveling exhibit components, banner shows, pop-up displays, etc.

  • Assists with graphics and media asset coordination as necessary.
  • Assists with executing MHS's policies and procedures for exhibit development.
  • Facilitates and coordinates institutional exhibit development packages and ensures accurate distribution to all staff
  • Coordinates exhibit work at other MHS facilities, namely Soldiers Memorial Military Museum.
  • All other duties as necessary.

Qualifications:

  • Bachelor's degree, preferably in Public History, Museum Studies, Arts Administration, or a

related field.

  • Minimum 5 years of administrative, coordination or project management experience required, preferably in a nonprofit museum and/or public sector.

Skills:

  • Ability to juggle many simultaneous tasks and roles as well as to delegate tasks effectively.
  • Excellent organizational, administrative, communication and leadership skills.
  • Knowledge of current museum ethics, policies, and practices particularly relating to exhibition

development, research, conservation, collections, etc.

  • Knowledge of and experience with exhibition design, fabrication, media development, and all other steps related to exhibition production
  • Moderate to advanced project management skills.
  • Moderate to advanced budget management experience.
  • Moderate to advanced oral and written communications skills.
  • Basic to moderate understanding of exhibit planning documents such as storyboards, floorplans,

spreadsheets, calendars, etc.

  • Basic experience with collections databases, such as Mimsy or Piction, preferred.
