Manager of Volunteer and Intern Services

Position Summary:

The Manager of Volunteer and Intern Services is responsible for the planning, coordination, and growth of volunteer and intern programs. Working closely with staff across the institution, the Manager will ensure meaningful experiences for volunteers and interns to learn new skills and contribute to the preservation and interpretation of regional history.  The Manager is a part of the Visitor Engagement & Accessibility Department, which aims to foster a welcoming and engaging environment so that guests of all backgrounds and abilities can make personal connections to history.

Essential Functions:

Recruitment

  • Recruit volunteers and interns with a variety of experiences and skill sets and who reflect the diversity of the St. Louis metropolitan area and the communities that MHS strives to serve
  • Develop and maintain relationships with regional community organizations, schools, and universities to aid in recruitment

Volunteer and Intern Placement

  • Collaborate with MHS staff to develop meaningful volunteer and intern opportunities within the organization
  • Conduct initial screening interview of potential volunteers
  • With the Director of Visitor Engagement and Accessibility set and evaluate the goals and direction for MHS' volunteer and intern programs in alignment with the 2020s vision of the institution
  • With the Volunteer Coordinator:
    • Solicit volunteers to assist with projects and supervise their progress on assigned tasks.
    • Regularly communicate with and support MHS staff who supervise volunteers and/or interns.
    • Maintain regular personal contact with all volunteers, interns, and intern advisors from their academic institution.
    • Provide creative volunteer opportunities for groups, mini-internships or projects, and other time focused tasks.

 Leadership, Training, and Recognition

  • Build volunteer and intern understanding of and investment in institutional mission, initiatives, and projects including our commitment to diversity, equity, accessibility, and inclusion
  • Ensure the ongoing recognition of volunteer and intern contributions through appreciation events, rewards, and engagement programs
  • Support volunteers and interns pursuing the next step in their career path by serving as a mentor, providing resume workshops, and other professional training
  • Plan and coordinate implement initial orientation and ongoing professional development for all volunteers and interns
  • Serve on institution wide teams to bring the 'voice of volunteers and interns' to decision making and planning
  • Facilitate the training and evaluation of gallery attendants and docents
  • Be responsive to institutional initiatives that require maximum volunteer and intern effort
  • Hire and supervise part time staff; providing mentorship, guidance, training, and support

Logistics

  • Maintain and continually update the volunteer and intern handbooks and other policies and procedures
  • Supervise the coordination of adult tour groups
  • Supervise the coordination and scheduling of the internship program which occurs 3 times per year
  • Supervise maintenance of volunteer and intern service records and generation of reports using Volgistics and Altru
  • Write and maintain Memorandums of Understanding (MOUs) with partnering organizations and colleges
  • Administer the annual operating budget
  • Attend regular staff meetings, training sessions, and conferences
  • Maintain up-to-date knowledge of best practices and ethics for volunteer and internship programs
  • All other duties as assigned

Qualifications:

  • Degree in Museum Studies, Public History, Education, History, Non-Profit Management, Human Resources, preferred. Appropriate experience may substitute. 
  • Minimum of 4 years of working with volunteers and/or interns is required. Specific experience in recruiting, cultivating, and managing volunteers and/or interns is preferred.
  • A minimum of 2 years working as an educator or as a tour guide (adult education experience preferred).
  • Flexibility to work occasional evening and weekend hours is required

Skills:

  • Ability to cultivate relationships with organizations and individuals to drive volunteer and intern engagement
  • Demonstrated ability to work with and seek the inclusion of staff, volunteers, and interns from diverse backgrounds
  • Experience leading, training and motivating a team for a unified goal
  • Creation of appreciation and recognition opportunities for the efforts and contributions of others
  • Outstanding communication (verbal and written) and collaboration skills across departments and with external groups
  • Knowledge of best practices for volunteer and intern programs, museum education, and interpretation
  • Understanding of adult learning theory
  • Passion for the history, present, and future of the St. Louis Region
  • Current or past personal experience serving as a volunteer or intern
  • Ability to mediate conflict with professionalism and empathy
  • Proficiency with Microsoft Office programs
  • Demonstrated ability to successfully manage projects from concept to implementation
  • Multi-lingual capabilities are a plus
  • Experience working with Volgistics and Blackbaud or similar database software preferred
  • Passion and embodiment of the mission and values of the Missouri Historical Society
  • An engaging and welcoming presence and mind-set are required
  • Ability to maintain confidentiality of sensitive information is required
  • Access to transportation to travel to regional volunteer and intern fairs and for other outreach purposes is required
