Positon Summary:

The Missouri Historical Society seeks a Payroll and Accounting Associate to accomplish the overall role to:

  • Ensure the efficient operation of the payroll processing.
  • Coordinate labor collection activities, preparation of payroll, implement garnishment policies, monitor changes in applicable laws and ensure compliance.
  • Maintain accruals for wages, taxes, and benefits.

Essential Functions:

  • Contribute to an environment that fosters teamwork, effective communication and
  • Prepare accurately and timely the bi-weekly payroll for the Institution. Payroll is processed through information received electronically from ADP payroll system. Other pay data information includes, but is not limited to, changes in pay status, employment status and benefits.
  • Serve as liaison with ADP concerning all payroll matters, including implementation of systemic updates and processes.
  • Prepare applicable journal entries each payroll, ZMD voucher report, 403(b) & 457 remittances, and download ADP payroll G/L interface.
  • Prepare the payroll and benefits allocations, including but not limited to the Soldiers Memorial project.
  • Prepare monthly reconciliations for all appropriate payroll related general ledger accounts.
  • Remit employee contributions to United Way.
  • Provide audit information for IRS Form 5500, Pension Plan, 403(b) and Workmen's Compensation and work closely with auditors, both for the financial audit and pension plan        
  • Oversee the ADP Flex Plan system and accesses the website to retrieve activity information. Balance monthly report from ADP.
  • Prepare annual Salaries and Benefits Budget worksheet. Work closely with administration to record additions/deletions/changes in staff and salaries until a final version is completed.
  • Prepare annual payroll and vacation accrual journal entries.
  • Prepare quarterly 401A remittance lists.
  • Prepare payroll data for grant allocations and reports.
  • Perform monthly, quarterly, and annual closing activities.
  • Perform account reconciliations and analyses for benefits, payroll clearing, receivables, and other accounts as assigned.
  • Maintain current written desk top procedures.
  • Prepare journal entries related to the various areas in support of month end closing.
  • Process transactions related to the accounts receivable and cash receipts.
  • Review and deposit all transactions related to revenue system Blackbaud Altru related to closed drawers and development batches.
  • Perform other appropriate duties as assigned.
  • This role works closely with Human Resource Department.
  • All other duties as assigned.

Qualifications:

  • Bachelor's degree in Accounting desired.
  • Not-For-Profit Accounting experience is highly desired.

Skills:

  • Knowledge and experience with integrated accounting systems for general ledger.
  • Knowledge of ADP payroll system, Blackbaud Altru revenue system and Financial Edge accounting system.
  • Proficient with Microsoft Excel. Intermediate to advanced experience with MS Word and MS Outlook or similar programs. 
  • Solid written and oral communication skills
  • Ability to develop oneself through continuous learning, initiative, innovation, resourcefulness, and critical thinking.
  • Ability to prioritize, effectively handle multiple projects concurrently, and take ownership of work.
  • Ability to meet tight deadlines, work extended hours during accounting close, audit periods and other critical times.
  • Ability to work independently and as part of a team as necessary.
  • Ability to work collaboratively with internal and external customers.
  • Ability to maintain confidentiality of institution information.
  • Must be detail oriented, but able to maintain a balanced perspective in rapidly changing business circumstances.
  • Formally responsible for making recommendations that may or may not be accepted at a higher level regarding the job's purpose, essential responsibilities, and operations.
  • Ability to define problems, collect data, establish facts, and draw valid conclusions.
