Position Summary:

This position is responsible for assisting with reserving and executing facility rentals (weddings, social, and corporate) and will serve as the secondary contact for rentals for the Missouri Historical Society's venues (Missouri History Museum and Soldiers Memorial Military Museum).

The Private Events Assistant will have enthusiasm for hospitality and customer service, as well as be a self-motivated and highly organized individual with excellent communication skills.

Essential Functions:

  • Helps coordinate all aspects of private facility rentals, including initial client contact, site visits, event walk-throughs, and planning and coordinating day-of events
  • Utilizes the group sales function of Altru database system to book and track events in MHS online calendar
  • Prepares private event checklists, track statistics with client bookings, and work closely with the catering, housekeeping, resource protection, A/V technician, and administrative staff on organizing event details
  • Prepares contracts and invoices as well as process payments for private facility rentals
  • Works events as necessary; some evening and weekend hours required

Qualifications:

  • An engaging and welcoming demeanor and customer-centered mind-set are required
  • Previous experience in sales and event planning or similar job field
  • Some college is preferred
  • Flexible schedule allowing for weekend and evenings

Skills:

  • Highly organized, with the ability to balance multiple tasks, adhere to deadlines and have a strong attention to detail
  • Demonstrate strong communication skills
  • Ability to provide excellent customer service in a clear, concise manner in person, on the phone or in correspondence
  • Ability to provide quick thinking solution-based problem solving
  • Ability to work and think under pressure with a calm presence
  • Demonstrated ability to inclusively work with diverse audiences including making accessible accommodations when needed
  • Proficient computer skills - ability to understand and work independently with Microsoft products including Outlook, Word, Excel, Power Point and Teams
    • Experience with All Seated or Social Tables helpful
