Position Summary:

This position is responsible for reserving and executing facility rentals (weddings, social, and corporate) and will serve as the primary contact for rentals for the Missouri Historical Society's three venues (Missouri History Museum, Soldiers Memorial Military Museum, and Library and Research Center).

The ideal candidate will have a dedication to exceptional hospitality and customer service, as well as self-motivated and highly organized individual with excellent communication skills.

Essential Functions:

  • Coordinate all aspects of the facility rental program primarily for the Missouri History Museum and Soldiers Memorial Military Museum which includes client contact, site and planning meetings; coordination between all vendors, caterer, client and MHS as well as point of contact for the day-of event.
  • Utilize the group sales function of Altru database system to create client contracts, invoices and process payments for facility rentals
  • Create and execute a sales plan to manage and track private event bookings
  • Prepare run of show for all events and work closely with the catering, housekeeping, resource protection, production team, and administrative staff on organizing event details
  • Work with outside vendors to build working relationships and add commission-based revenue streams
  • Assist internal department events as needed
  • Work closely with the marketing and communication department to create marketing plan to continually grow the program
  • Work events as necessary; may require evenings and weekends
  • All other duties as assigned

Qualifications:

  • An engaging and welcoming presence and customer-centered mind-set are required
  • 3 -5 years' experience in sales and event planning or similar job field
  • Some college is preferred
  • Flexible schedule allowing for weekend and evenings

  • Solid written and verbal communication skills
  • Ability to provide excellent customer service in a clear, concise manner in person, on the phone or in correspondence
  • Ability to provide quick thinking solution-based problem solving
  • Ability to work and think under pressure with a calm presence
  • Demonstrated ability to inclusively work with diverse audiences including making accessible accommodations for people with disabilities
  • Demonstrated ability to take initiative to build relationships and engage members of the public is required
  • Flexible schedule allowing for weekend and evening tour programs.
  • Sharp problem-solving skills with ability to create solutions quickly
  • Highly organized individual, with the ability to balance multiple tasks, adhere to deadlines and have a strong attention to detail
  • Proficient computer skills: ability to understand and work independently with Microsoft products including Outlook, Word, Excel, Power Point and Teams
    • Helpful to have experience with All Seated or Social Tables
  • Knowledge of best practices in event planning, design, and management with the desire to stay current
