Position Summary:
The Missouri Historical Society seeks a Registrar to be responsible for implementing collections policies and procedures and recording and maintaining all records pertaining to the Collections of the Missouri Historical Society. The Registrar works with curators, archivists, and librarians to record and document the acquisition of new additions to the collections. This position corresponds with donors, including issuing contracts of gifts, and enter all relevant acquisitions data into the institution's Mimsy XG collections management software database. The Registrar coordinates the out-loan process by working with borrowing institutions to ensure the care and safety of loaned MHS collections. This position also ensures that all collections policies and procedures are observed and creates and updates policies as needed.
Essential Functions:
Acquisition Registration
- Oversee entry of new acquisitions
- Supervise inventory and management of Incoming Acquisitions Holding Room
- Lead monthly Curator's Review meeting of incoming acquisitions
- Prepare agendas and ballots for monthly Acquisition Review Committee meetings
- Facilitate monthly Curatorial Collections Committee meetings
Outgoing Loan Registration
- Manage and track outgoing loan requests
- Communicate with borrowers regarding the loan process
- Assist Curators and Conservator with management of loan requests
- Create new outgoing loan records in Mimsy Collection Management System
- Collaborate with Collection Manager on packing and shipping outgoing loan
- Maintain permanent loan files
Retrospective Projects
- Continue progress to incorporate legacy registration records into collections management system
- Collaborate with the Collections Manager on collections inventories and the reconciliation of Found in Collection objects
Qualifications:
- M.A. in History, Museum Studies, or relevant field preferred
- Minimum five-years of experience in museum registration
- Proficient in museum registration practices and principles
- Experience managing acquisitions and out-loans in an environment including archives and manuscripts and library materials as well as museum objects
- Knowledge and experience handling museum artifacts; artifact packing and shipping experience preferred
- Must be able to lift heavy objects
- Must possess a valid driver's license
Skills:
- Proficient with word processing, spreadsheets, and databases; advanced proficiency in collections management software, preferably Mimsy XG
- Must have a thorough understanding of collections registration best practices
- Understanding of general collections management principles
- Excellent verbal and written communication skills are required
