Position Summary:

The position of Missouri Historical Society Registrar is responsible for implementing collections policies and procedures and recording and maintaining all records pertaining to the Collections of the Missouri Historical Society. The Registrar works with donors to finalize the acquisition of new additions to the collections, including issuing contracts of gift and entering all relevant acquisitions data into the institution's Mimsy XG collections management software database. The Registrar ensures that all collections policies and procedures are observed, works to create new policies as needed, and coordinates the out-loan process by working with borrowing institutions to ensure the care and safety of loaned MHS collections. 

Essential Functions:

Acquisition Registration: Manage current registration

  • Oversee entry of new acquisitions 
  • Supervise inventory and management of Incoming Acquisitions Holding Room
  • Assist Senior Curator with monthly Curator's Review of incoming acquisition
  • Assist Director, Library and Collections with monthly Acquisition Review Committee meetings
  • Facilitate monthly Curatorial Collections Committee meetings

Outgoing Loan Registration: Manage and track outgoing loans under the supervision of Registrar:

  • Create new outgoing loan records in Mimsy Collection Management System as needed
  • Track and update Outgoing loan records in Mimsy
  • Maintain outgoing loan files
  • Communicate with borrowers regarding the loan process
  • Assist Curators and Conservator with management of loan requests
  • Collaborate with Collection Manager on packing and shipping outgoing loan

Manage Retrospective projects: Coordinate projects to consolidate registration records and incorporate legacy registration records into collections management system

Qualifications:

  • M.A. in History, Museum Studies, or relevant field
  • Minimum five-years of experience in museum registration
  • Proficient in museum registration practices and principles
  • Experience managing acquisitions and out-loans in an environment including archives and manuscripts and library materials as well as museum objects
  • Knowledge and experience handling museum artifacts and exhibit installation preferred
  • Must be able to lift heavy objects; Must possess driver's license and maintain good driving record

Skills:

  • Proficient with word processing, spreadsheets, and databases; advanced proficiency in collections management software, preferably Mimsy XG
  • Must have a thorough understanding of collections registration principles and best practices
  • Understanding of general collections management principles
  • Excellent verbal and written communication skills are required
  • Good knowledge of museum practice and theory and will be able to collaborate on the development and management of institutional policies and procedures relating to collections
