Reservations Coordinator
Position Summary:
The Reservations Coordinator is responsible for successfully handling group tour and internal space requests at MHS facilities including the Missouri History Museum, the Library & Research Center, and the Soldiers Memorial Military Museum. High energy, enthusiasm, and a customer-centered mind-set are essential. The Reservations Coordinator must have outstanding sales, customer service, and problem solving skills as well as the ability to interact effectively with a wide range of people at all levels both within and outside of the institution.
Essential Functions:
- Schedules all meetings, programs and events for internal and external groups using Altru and provides specialized technical, administrative and clerical tasks in support of MHS programs.
- Effectively manages visitor contacts received by telephone, email, and on-line ticket sales. Provides guidance to potential Youth & Family, K-12, college, adult and outreach groups concerning the availability of gallery spaces and public programs and processes cash/credit payments. Schedules all visits for these groups.
- Assists with event and member registrations for various MHS events.
- Provide sound, effective guidance on ticketing and scheduling issues to division management.
- Assists visitors and answers inquiries regarding MHS programs, facilities, exhibits, etc.
- Provide Altru training to full-time and part-time Visitor Experience staff and volunteers as needed.
- Provides effective guidance and support to Reservations Assistant(s).
- Provides reports as needed to MHS departments.
Qualifications:
- Outstanding sales and customer service, and problem solving skills.
- Strong written and verbal communication skills required; ability to communicate effectively and diplomatically.
- Demonstrated experience using online ticketing and space management software programs such as Altru or other related CRM software. A minimum of two years experience with ticketing and scheduling software programs required.
- Proven expertise using Microsoft Office programs such as Excel, Word, and PowerPoint.
- Strong written and verbal communication skills required; ability to communicate effectively and diplomatically.
Skills:
- Trustworthy, self-motivated team player with exemplary attention to detail.
- Able to create registration pages for ticketed events in Altru or be willing to undergo training for this task.
- Exceptionally well organized, diplomatic, exercise sound judgment and have the ability and confidence to successfully resolve conflict.
