Position Summary:

Working alongside the Volunteer and Intern Services Manager, the Volunteer Coordinator builds and maintains relationships with MHS's volunteers across all three of our locations: Soldiers Memorial Military Museum, the Library and Research Center, and the Missouri History Museum. The coordinator maintains communication between staff and volunteers; creates and organizes administrative records; manages volunteer schedules; coordinates group tours and events; assists in planning and scheduling volunteer appreciation activities; and assists manager in training and onboarding volunteers.

The ideal candidate has strong relationship building skills, superior administrative skills, enjoys coordinating group tours and events, and is comfortable with database software for space management and volunteer and intern tracking. This position is expected to work part-time, Monday – Friday with some evening and weekends required for special events.


Duties:

Coordinating Volunteer On-boarding and Appreciation Events

  • Assists in keeping volunteers up to date on MHS events, distributing newsletters, and coordinating volunteer needs with MHS staff and volunteers
  • Assists in planning, scheduling, and implementing appreciation activities for volunteers and interns

Administrative Duties

  • Assists in on-boarding new Volunteers, including giving tutorials on Volgistics for tracking hours and collecting required paperwork
  • Submits Programs and Events Requests to Reservations for meetings, orientations, and events
  • Books Zoom rooms for meetings and orientations
  • Maintains a clean, stocked, and welcoming space for volunteers, interns, and staff
  • Coordinates group tours at the Missouri History Museum and schedules volunteer interpreters using Volgistics, Microsoft Excel, and Altru (a Blackbaud product)

Recruitment and Reporting

  • Assists the Volunteer and Intern Manager in recruitment efforts by attending fairs and tabling at events
  • Receives new volunteer applications and screens potential candidates
  • Assists with research of museum best practices, internal reporting, and evaluation of tours and volunteer program
  • Creates, runs, and submits service and volunteer reports as needed
  • Assists the Manger of Volunteer and Intern Services with all other duties as assigned

  • Strong verbal and written communication skills
  • Some light lifting of boxes of office supplies or assistance in event setup requested
  • Bilingual or multilingual skills are a plus

Education and Experience:

  • Bachelor's Degree in Human Services, History, Education, Museum Studies, Social Work, or similar field or equivalent of three years' experience required
  • Prior work experience in a non-profit or museum or cultural institution preferred; experience working with volunteers especially desired
  • Experience and proficiency with Altru, Raisers Edge, Volgistics, or similar software a plus
  • Previous staff scheduling and coordinating experience a plus
